Privacy Policy

Effective date: September 15, 2026

1. Who we are

ClosetBoard helps you turn clothing you own and style inspiration you choose into outfit ideas. This Privacy Policy explains how ClosetBoard, LLC, doing business as ClosetBoard ("ClosetBoard," "we," "us," or "our"), handles personal information when you use our application, website, and related support services (the "Service").

We are responsible for the personal information described in this policy. You can contact us at sadie@closetboard.org. Our Terms of Service govern your use of the Service.

2. Information we collect

The information we collect depends on the features you use.

  • Account information. Your name, email address, handle, profile photo, account identifier, and authentication information. If you choose a sign-in option provided by Apple or Google, we receive the account identifier and profile information that provider shares with your permission. Signing in does not give us access to your inbox, contacts, or social media accounts.
  • Photos and other content you provide. Clothing photos, outfit photos, screenshots, inspiration images, product links, and other files you choose to submit. Images can contain faces, people, surroundings, text, or embedded metadata. Please remove information you do not want processed before uploading.
  • Closet and styling information. Your Pieces, saved Inspo, Outfits, clothing names, categories, colors, brands, sizes, ownership selections, image cutouts, and other information you add or we derive to organize clothing and recommend outfits. We also process occasion requests, styling instructions, preferences, saved choices, and refinement feedback. Optional body or fit information is collected only if you choose to provide it.
  • Social information. Friend requests, accepted friendships, closet-access requests and permissions, shared outfits, blocked accounts, and reports you submit. We also receive information when another user invites you or shares content with you.
  • Order-import information. If you use an import feature, we receive the receipt you forward, product link you paste, or screenshot you submit, along with relevant sender and message information. These inputs may contain retailer names, order numbers, purchase dates, item details, prices, addresses, or partial payment details. We use them to identify clothing for your review. We do not request retailer passwords, session cookies, or access to your entire email inbox.
  • Purchase information. If you purchase a subscription, we receive information needed to verify and manage it, such as transaction identifiers, purchased plan, price and currency, renewal or expiration dates, and subscription status. The app store or payment provider processes your payment details under its own policy. We do not receive your full payment-card number from an app-store purchase.
  • Technical and usage information. IP address, device and operating-system information, app version, session identifiers, feature interactions, request timestamps, errors, and diagnostic information. Where enabled, notification delivery uses a device notification token. Our website may use cookies or similar storage for sessions, preferences, and the purposes described in Section 6.
  • Communications. Support requests, feedback, privacy requests, and any attachments or other information you send us.

3. How we use information

We use information to create and secure your account; store and organize your closet; process the images and imports you select; generate and refine outfit suggestions; save content at your direction; enable friend and sharing features; and provide the subscription benefits you purchase.

We also use information to answer questions, send service and security notices, deliver notifications you enable, investigate errors and abuse, maintain and improve reliability, administer purchases, respond to rights requests, and meet applicable recordkeeping obligations. Marketing messages, if offered, use the choices and consent required in your location.

Your uploaded content is used to provide the features you request. Using inspiration to personalize an outfit suggestion is different from training a general-purpose AI model. Our AI processing and model-training practices are described in Section 4.

Providing account and clothing information is necessary for features that depend on that information. You can decline optional inputs and permissions, although the related feature may then be unavailable.

4. Photos and AI processing

When you ask ClosetBoard to process clothing or generate an outfit, we may analyze the selected images, clothing records, inspiration, and instructions to identify garment details, remove backgrounds, compare pieces, and create or refine suggestions. This may produce extracted text, descriptions, image cutouts, and mathematical representations used to compare clothing.

We use third-party AI and image-processing providers to perform this work. We send those providers only the images, clothing records, inspiration, and instructions needed for the specific request you make, together with the technical information required to complete it. Those providers process the data on our instructions, retain it only for the short period needed to return a result and address abuse, and are not permitted to use it to train general-purpose AI models. ClosetBoard does not use your content to train general-purpose AI models.

Before sending personal information to a third-party AI service, we identify the recipient and the relevant data use and ask for your explicit permission. You can decline, or later withdraw that permission, in Profile > Settings > Privacy, or by emailing us. Withdrawing permission stops future processing that relies on it; requests to remove previously submitted data follow Sections 7 and 8. Features that need this processing may no longer work after withdrawal.

We analyze images to understand clothing and style, not to identify the people pictured. We do not create facial-recognition templates or use clothing photos to verify your identity. Where technically possible, we strip embedded photo metadata such as location coordinates and device details when an image is uploaded, and we do not use that metadata to build a profile about you.

Choosing to recreate an outfit does not itself save the source image to your Inspo collection. Saved Inspo is created when you choose to save it. Temporary processing copies are subject to the retention rules below.

5. When we share information

Providers working for us. We disclose information as needed to providers supporting hosting, storage, authentication, image and AI processing, receipt handling, subscription verification, notifications, diagnostics, support, and authorized development or maintenance. Providers may use that information only for the services and purposes we authorize, subject to confidentiality, security, and data-protection requirements consistent with this policy. We require protections at least equivalent to those promised here. You can email us for a current list of our production providers and their roles.

People you choose. Your display name, handle, and profile image may be visible to people who find you through Friends or receive an invitation or shared content. Your closet is private unless you grant access or share content. Accepting a friend request does not automatically grant closet access. You can give selected friends separate permission to browse your closet and revoke that permission. Browsing access does not authorize them to edit your closet, and their clothing is not automatically added to your inventory.

When you share an outfit, image, or link outside ClosetBoard, the destination service handles it under its own rules. Recipients may save screenshots or other copies. Revoking access or deleting content removes access through ClosetBoard, but cannot retrieve independent copies someone already made outside the Service.

App stores and sign-in providers. Apple, Google, and any other provider you choose may process information independently when distributing the app, authenticating you, or handling payments. Their policies apply to that independent processing.

Required disclosures and business changes. We may disclose limited information when required by applicable law or a valid governmental process; to protect people, rights, or the security of the Service; or to investigate fraud or abuse. Information may also be disclosed in connection with a financing, merger, acquisition, or business transfer, subject to appropriate protections and notice where required.

Advertising and data sales. We do not sell personal information, share it for cross-context behavioral advertising, or use third-party advertising networks in ClosetBoard.

6. Permissions and website technologies

Camera access is used when you choose to take a photo. Photo access is used for images you select or otherwise authorize. Notification permission supports features such as friend requests and outfit reminders. You can change permissions in your device settings. Turning off a permission does not delete information already submitted; Section 8 explains deletion options.

ClosetBoard does not request device location permission or provide location-based weather recommendations. IP addresses and information contained in your uploads may nevertheless reveal an approximate or incidental location.

Our website uses necessary cookies or similar storage to operate securely and remember essential choices. We also use privacy-respecting, aggregate analytics to understand how the website performs; where consent is required, we request it before enabling nonessential technologies. You can also use browser settings to restrict storage, which may affect functionality.

If we receive information from Google APIs, our use and transfer of it follow the Google API Services User Data Policy, including its Limited Use requirements where applicable. Any additional Google permissions are explained before you authorize them.

7. Retention and deletion

We retain personal information only for the purposes described in this policy and for any additional period required to meet applicable obligations. Our retention rules are:

  • Account details and confirmed Pieces, saved Inspo, Outfits, preferences, and related image representations remain while your account is active, unless you delete them earlier.
  • Source images not saved to your account and temporary image-processing files are retained for up to 30 days.
  • Raw forwarded receipts, import screenshots, message attachments, and abandoned import drafts are retained for up to 90 days. Confirmed clothing records follow the rule for saved Pieces. Raw import material is not retained indefinitely merely because an extracted Piece is saved.
  • AI-provider copies follow the specific periods and deletion rules described in Section 4.
  • Technical logs, security records, and support correspondence are retained for up to 12 months, limited to the relevant operational, security, or support need.
  • Transaction records are retained for up to 7 years to support billing, refunds, disputes, accounting, and required recordkeeping.

Following a verified account-deletion request, we delete or irreversibly de-identify associated personal information from active systems within 30 days. This includes account details, clothing photos and cutouts, saved inspiration, outfits, prompts and derived records associated with the account, friendship records, and closet permissions. We disable associated import routes and request deletion from providers as applicable.

Residual backup copies expire within 90 days. They are isolated from ordinary use, and deletion is reapplied if a backup must be restored. If we must retain a limited record for fraud prevention, a dispute, or a statutory obligation, we restrict its use to that purpose and retain it only as necessary. We explain applicable exceptions when responding to your request, unless we are prohibited from doing so.

8. Your choices and privacy requests

You can edit account and clothing information, delete saved content, manage closet access, and block users through the relevant app controls. You can request an export through Profile > Settings > Data and account, or by contacting sadie@closetboard.org.

To request deletion of your account, go to Profile > Settings > Data and account > Delete your account. You can also start a request without reinstalling the app by emailing us with the subject line "Delete my account."

We may ask for reasonable verification to prevent someone else from deleting or obtaining your information. Account deletion removes your content from ClosetBoard's sharing surfaces as well as your own account, subject to Section 7.

Deleting the app does not delete your account. Deleting your account does not by itself cancel a subscription billed by Apple or Google. Manage that subscription with the store that bills you; we provide cancellation guidance during deletion. You do not have to wait for a subscription to expire to request account deletion.

Depending on your location and the rules that apply, you may have rights to know about or access your information, receive a portable copy, correct it, delete it, restrict or object to certain processing, withdraw consent, and appeal a denied request. Where applicable, you may use an authorized agent or complain to your local privacy regulator. We do not discriminate against you for exercising a protected privacy right.

Contact us to exercise these rights or appeal a decision. We respond within the period required by applicable law, explain any refusal, and provide additional verification or appeal instructions when needed. Withdrawing consent does not invalidate processing performed before withdrawal. You may unsubscribe from marketing emails through their unsubscribe link; essential account and security messages may still be sent.

9. Security and international processing

We use administrative, technical, and organizational safeguards designed to protect information, including access controls and encryption in transit. Access by personnel and providers is limited to authorized purposes. No storage or transmission system can be guaranteed completely secure.

Information is stored or accessed in the United States, including by the providers described above, and may be processed in other countries where those providers operate. Those countries may have different data-protection rules from your own. When a transfer requires additional safeguards, we rely on standard contractual clauses or another approved transfer mechanism. You can contact us for information about the safeguards relevant to your data.

Where European or UK data-protection rules apply, our grounds for processing include performing our contract with you for account and requested app features; our legitimate interests in security, fraud prevention, and reliable support, balanced against your rights; consent for optional processing where required; and compliance with applicable obligations. Outfit suggestions personalize the Service and do not determine eligibility for employment, credit, or other similarly significant opportunities.

10. Age requirements

ClosetBoard is intended for people aged 13 or older and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child below the permitted age has provided information, contact us so we can investigate and take appropriate steps, including deletion where required.

11. Changes to this policy

We may update this policy as the Service changes. We will revise the effective date and provide notice of material changes through the app, email, or another appropriate channel. Where a new use requires consent, we obtain it before that use begins. Earlier information is not automatically subject to a materially different purpose merely because this policy changes.
